Note: This article is about miscellaneous settings in Gradelink that may impact the appearance or behavior of Report Cards. If you are looking for information about how to customize your report cards, please click here.



Hidden Classes

Some classes, despite having grades entered for them and being concluded properly, will not appear on the report card. Gradelink calls these Hidden Classes. Hidden Classes are useful when schools would like to record student activity using classes but don't want to include them on the report card, such as with extracurricular clubs or sports.


If you would like to use Hidden Classes, please contact Gradelink staff to have the feature enabled for your school. Once the feature is enabled, you can mark Classes as "Hidden" in the Classes tab:




Assignment Types as Sub-grades

By default, Assignment Types cannot be included on the report card. However, Gradelink can give Administrators the ability to include Assignment Types on the report card in the same way that sub-grades appear on the report card.

If you would like to include Assignment Types on the report card, please contact Gradelink staff to have the feature enabled for your school. Once the feature is enabled, you can activate it in the Classes tab:


Note: Assignment Types will only appear on report cards generated using "Normal (Concluded Only)" mode.


Default Standards Behavior on Report Cards

Normally, Administrators will determine whether to include standards on report cards on a class-by-class basis by enabling or disabling certain settings on the Standards section of the Classes tab.



However, this can be a time-consuming process when configuring standards behavior for multiple classes. To save time, Administrators can set default standards behavior for all classes using the Standards section of the Settings tab:



Note: While settings configured in the Standards section of the Settings tab will become the default, you can still make changes to individual classes in the Classes tab.


Allow Teachers to customize their Report Cards

By default, Teachers do not have access to the report card options menu and do not have the ability to make alterations to report card profiles. In the example below, note how the "Report Card Options" menu as well as the report card profile "Edit" button are missing.



Administrators can give Teachers access to these features by checking the box labeled "Report Card Options" in the Teacher section of the Settings tab:



When this setting is active, Teachers will be able to make alterations to their report cards just like Administrators.



Allow Teachers to view/manage published Report Cards

By default, Teachers do not have the ability to view report cards that have been published online for parents and students to see.


Administrators can give Teachers access to published report cards by checking the box labeled "Published Report Cards" in the Teacher section of the Settings tab:



When this setting is active, Teachers will see a new report labeled "View Published Report Cards" in the Reports tab.




Allow Parents and Students to access published Report Cards

If schools would like to make report cards available to students and parents through Gradelink, they can do so by activating the "Published Report Cards" setting in the Parent/Student section of the Settings tab:




Generating Report Cards for past Terms

Schools can generate report cards for any terms that appear in the list of terms on the report card generation page.



However, it's possible that the terms you would like to generate report cards for don't appear in the list of terms. Gradelink does not delete school data, so the most likely explanation is that too much time has elapsed since the end of those terms and they have become 'hidden'. 


You can change how much time must pass after a term's end date before it becomes hidden in the Date/Time section of the Settings tab:



Numbered Comments on Report Cards

While the Multi-Term and Multi-Term 2 report card templates will automatically update numbered comments to match what is recorded in the Settings tab, the Letter-Landscape and Tri-Fold 3 templates need to be adjusted manually.


You can update your numbered comments by clicking on the Numbered Comments button in the Settings tab:




School Attendance on Report Cards

Not every value that appears on the school/daily attendance sheet needs to appear on the report card, and the values that do appear can be customized with unique titles.


To modify the appearance of school/daily attendance values on the report card, click on Daily Attendance Settings in the Settings tab.



On the settings page, there are two settings that affect how School Attendance appears on report cards: Report Card Title and Show On Report Card.



Report Card Title is used when School/Daily Attendance is included on the report card. It can be helpful when schools want slightly different values to appear on the report card compared to the attendance sheet. In the example shown above, the actual attendance sheet will show values such as "Hot Lunch 1", "Hot Lunch 2", and "Cold Lunch". However, on report cards they would all simply appear as "Lunch".


Show On Report Card, as the name suggests, determines which attendance values will be included on the report card. 


Note: Even if the total for a particular value is zero, as long as "Show On Report Card" is active it will still appear on the report card.



School Profile

The Multi-Term and Multi-Term 2 report card templates allow schools to include information such as the name and address of the school automatically. This information is pulled from the School Profile page in the Settings tab.
